This notice explains how and why we collect and process your personal data for recruitment purposes, who we might share it with, and your rights and obligations regarding your data. Please read it carefully before submitting your application.
Personal Data We Process
We only process personal data that is necessary to assess your suitability for the role, as provided by you in required and optional fields on the application form, in your CV, and during the recruitment process. This data typically includes:
Your full name, email address, and phone number.
Your resume (CV), cover letter, and any information about your work history, qualifications, and certifications.
Information you provide during interviews and any technical assessments.
Contact information for professional references you provide.
Publicly available professional information: Information from professional social media profiles (such as LinkedIn) if you verify these links or choose to share them with us.
We encourage you to only provide data that is relevant to the role.
How We Use Your Data
Your data will be used exclusively to assess your application, qualification (including verifying the information you provide), communicate with you, and manage the recruitment process for the specific role you applied for.
Potential Cross-Border Transfer
To effectively evaluate candidates, our recruitment process involves collaboration with our global headquarters and the use of third-party tools. We may share your data with:
Our Parent Company: Key hiring managers and interviewers based at Katalon, Inc. (USA).
Service Providers: Third-party vendors who assist us with the recruitment process, such as our Applicant Tracking System providers (e.g., TeamTailor).
Agreement For Future Opportunities (Talent Pool)
Participation in our Talent Pool allows Katalon Vietnam to consider you for future roles if your current application is unsuccessful. Your profile will only be retained in the Talent Pool if you provide separate consent for this purpose via the corresponding optional checkbox on the application form. If you consent, your profile may be retained for up to 12 months after the recruitment process concludes. Consenting or declining to join the Talent Pool is entirely optional and will not affect the evaluation of your current application.
Your Rights & Obligations
Your Rights: You have the right to be informed about the processing of your data; to give, withdraw, or refuse consent; and to access, rectify, delete, or restrict the processing of your personal data. Additionally, you have the right to object to processing, request the provision of your data, file complaints or lawsuits, claim damages, and request measures to protect your rights in accordance with the law.
Upon receiving your request, we will verify your identity, the completeness and accuracy of the request in accordance with the law, and assess the feasibility of fulfilling the request. Our timeframes for responding to your request are as follows:
Acknowledgement of receipt: Within 02 working days from receiving a valid request.
Fulfilling requests for access, provision, or rectification: Within 10 days.
Fulfilling requests for restriction, objection, or withdrawal of consent: Within 15 days.
Fulfilling requests for data deletion: Within 20 days.
Fulfilling requests for protection measures: Within 15 days.
For complex requests, Katalon Vietnam may extend the fulfillment timeframe up to one (01) time, with the extension period not exceeding the respective original timeframe for each type of request mentioned above; in such cases, Katalon Vietnam will notify the candidate in advance and clearly state the reason for the extension. An additional 5 to 10 days may be required if fulfilling the request involves coordination with data processors or third parties.
We reserve the right to request additional information for verification, or to refuse to process the request if: (i) you do not provide sufficient information to verify your identity and the validity of the request; (ii) the law does not permit us to fulfill your request; or (iii) there is a specific request from a competent state authority.
Please note that the above rights are not absolute and may be limited by certain legal provisions, exceptions, and other statutory requirements and principles. In specific cases, we may have the right to refuse or restrict the exercise of these rights in accordance with applicable laws.
Your Obligations: By participating in our recruitment process, you have the following obligations:
Provide Accurate Information: You are obligated to provide true and accurate information regarding your education, work experience, and other details.
Respect Privacy and Confidentiality: You must respect and protect the personal data of others, including maintaining the confidentiality of any Katalon information you may be exposed to during an interview or technical assessment.
Comply with Regulations: You are obligated to comply with applicable data protection laws and prevent violations.
